Waitlist Management for Dog Breeders: Deposits, Pick Order and Communication

Updated September 6, 2026 · 7 min read · By the BreedBloom team
A waitlist is a promise ledger. Every name on it believes something about their position, their deposit and their timeline. Most breeder-family conflicts trace back to those beliefs not matching the breeder's. Clear rules and a visible record prevent nearly all of it.

Application first, deposit second

Take an application before any money. It screens for fit (fencing, work hours, other pets, experience, expectations) and gives you the information to match later. A deposit taken before screening is a refund waiting to happen.

Deposit rules to state in writing

    •
What the deposit buys: a place in line, or a puppy from a specific litter.
    •
    Refund conditions and transfer-to-next-litter conditions.
    •
Whether it counts toward the price.
    •
What happens if the family stops responding.

Pick order versus matching

Strict pick order (first deposit picks first) is simple but produces poor matches: the first family wants "the calm one" and picks by colour at five weeks. Breeder-matched placement, where you assign puppies based on temperament evaluations and the family's application, produces better outcomes and is defensible when your reasoning is recorded. Many programs combine the two: families rank preferences, the breeder assigns within those preferences.

Communication cadence

Stage
What families hear from you
Breeding confirmed
Expected due-date window and when the next update comes
Pregnancy confirmed (day ~28)
Ultrasound result, provisional list order for this litter
Puppy count (day ~55+)
How many are expected and how many the list can absorb
Whelping
Birth announcement, counts by sex and colour within 24 hours
Weekly
Photos, weights, developmental notes
Week 6–7
Temperament evaluation results and assignments
Go-home
Date, time, packet contents, what to bring
Predictable beats perfect
Silence is the most common complaint about breeders. A short update on a predictable schedule beats a long one at random.

When the litter is smaller than the list

    •
Tell the list the same day you know the count.
    •
Offer the choice: wait for the next litter with the deposit rolled over, or refund.
    •
Keep the record of who chose what.

The record you need

Every family: application, screening notes, deposit amount and date, preferences, communications, assignment, contract status. BreedBloom's waitlist keeps that per family, links each entry to the litter and the assigned puppy, and shares updates through the BloomPetz family portal so the "any news?" messages stop.

Frequently asked questions

How much should a puppy deposit be?

Commonly 10–25% of the price, or a fixed amount. The number matters less than the written terms for refunds and transfers.

Should families pick their own puppy?

Most experienced breeders match puppies to families using temperament evaluations and the family's application, often within the family's stated preferences, rather than pure pick order.
